Below is an overview of the different leadership volunteer roles within the WSE PTO, including Executive Board positions, Committee Chairs, and Grade Level Leads. Each role plays an important part in helping our PTO support WSE students, teachers, staff, and families.

 

As our organization grows, our volunteer roles may evolve, change, or expand based on the needs of our school and the interests and strengths of our volunteers. The descriptions below are intended to provide a general idea of what each position may look like and, hopefully, spark your interest in finding a way to get involved!

Executive Board

President: Leads PTO meetings and helps keep the Executive Board organized. Serves as the main point of contact with the principal, represents the PTO at outside meetings when needed, and works with all officers and committees to make sure everyone is working together toward the PTO’s goals.

 

Vice President: Supports the President and steps in when the President is unavailable. Serves as the backup contact for the principal and helps oversee the PTO’s committees, making sure everyone has the support they need.

 

Treasurer/Financial Secretary: Keeps track of the PTO’s money, expenses, and financial records. Helps create the annual budget, pays approved bills, and provides financial updates at PTO meetings. Also makes sure required taxes, insurance paperwork, and other financial reports are completed and submitted on time.

 

Communications Secretary: Helps keep families informed and connected by managing PTO communications, including emails, newsletters, the website, bulletin boards, and social media. Also helps make sure meeting notes are taken and shared, and keeps important PTO records organized.

 

Fundraising: Helps plan and coordinate PTO fundraisers throughout the year to raise the money needed to support our students, teachers, and school programs.


Committee Chairs

ARC/FBEF Basket Coordinator: Create one themed basket each semester on behalf of the WSE PTO for the ARC Silent Auction and Fort Bend Education Foundation Silent Auction. A budget is provided for each basket.

 

Dads Club: The Dad’s Club Chair organizes social events for WSE Dads, mobilizes volunteers in (approved) special WSE/PTO projects (like painting basketball backboards!) with the Executive Board, and coordinates help with morning drop-off. Also, plan and execute the annual Muffins for Moms event (February). 

 

Donuts for Dads: Plan and execute our annual Donuts for Dad event in October, working closely with the Executive Board

 

Fall Fundraiser: With the help of the Fundraising Chair, the Fall Fundraiser Chair would lead the Cash Drive effort. This will include creating and dispersing flyers, organizing volunteers, developing and running incentives.

 

Field Day: Work closely with the PE teachers to coordinate volunteers for Field Day in March. On the day of the event, help check in volunteers, make sure all volunteer positions are covered, and provide snacks for volunteers.

 

Food Truck Nights: With approval from the Executive Board and WSE administration, plan and coordinate community food truck nights throughout the school year.

 

Hospitality: Helps plan and coordinate staff luncheons throughout the school year to show our WSE staff how much we appreciate them.

 

Lamination: The Lamination Chair is responsible for maintaining the laminator at the school throughout the year. They will need to be trained to change the lamination rolls, as well as troubleshoot when issues arise. They will also train volunteers and create a schedule for volunteers to laminate throughout the school year.

 

Library/Book Fair: Work with the school librarian to organize and set up the fall and spring book fairs. Help coordinate volunteers for the book fairs and ongoing shelving needs throughout the school year.

 

Lost & Found/Shared Dreams: The Lost and Found/Shared Dreams Coordinator is responsible for keeping the lost and found organized and donating unclaimed items to Shared Dreams throughout the year. Shared Dreams also encourages each campus to do one drive per year that goes to re-supplying items that are in high demand and attend a handful of district meetings throughout the year. 

 

Picture Day: Work with the school EA to coordinate volunteers for Picture Day. Volunteers will help keep classes moving smoothly and make sure students are picture-ready before their turn.

 

Recording Secretary: Take accurate notes during general PTO meetings and share them with the Executive Board so they can be posted on the PTO website.

 

School Supplies: Work with our current vendor or help find a new one to coordinate a school supply fundraiser that makes it easy for WSE families to purchase the supplies they need for the upcoming school year. This includes reaching out to grade-level team leaders during the spring semester to collect their supply lists and providing them to the vendor.

 

Social Media: Assist the Communications Secretary with creating and managing PTO social media content across Facebook, Instagram, and X.

 

Spirit Activities: Reach out to local businesses to set up Spirit Nights and other fundraising events throughout the school year. Share event details and opportunities with the Fundraising Chair to help promote and coordinate each event.

 

Spirit Merchandise: The Spirit Wear chair is responsible for designing spirit wear for the school year, finding a vendor, helping manage the purchasing and delivery of spirit wear. A background in graphic design is a plus.

 

Sponsorship: Working under the direction of the Fundraising Chair, this role involves reaching out to local businesses by phone, email, or in person to help support PTO fundraising efforts. This is a great opportunity for someone who may not be able to volunteer at school or during school hours. Ideally, outreach would begin over the summer to give us a head start for the upcoming school year.

 

Spring Fundraiser: This role is similar to a project management role with underlying positions mostly filled with seasoned volunteers. You will work hand in hand with the Fundraising Chair (and team of volunteers) to organize and execute our biggest event of the year!

 

Teacher/Staff Appreciation: Help plan and coordinate meals, gifts, and fun activities for Teacher Appreciation Week in May. This may include reaching out to local businesses or families for donations. Work closely with the Executive Board and WSE administration to make sure our teachers and staff feel appreciated and celebrated all week long!

 

VIPS Coordinator: Attend the monthly district-wide VIPS meetings and share helpful updates with the PTO. This role also helps select our Volunteer of the Month and Volunteer of the Year and coordinates a gift with the Executive Board. The VIPS Coordinator will also organize refreshments at PTO meetings when asked by the Executive Board. 

 

Website: Assist the Communciations Secretary in maintaining the WSE PTO website throughout the year.

 

Yearbook: Choose a yearbook vendor, take or collect photos from WSE events, create yearbook layouts, and work with the Website Chair and Social Media Chair to help promote yearbook sales.


Grade Level Leads

Room Parent Coordinator: The Room Parent Coordinator’s responsibilities include assigning Room Parents for each class, helping connect parent volunteers to Room Parents, communicating and following up on responsibilities of the Grade Level Coordinators and Room Parents, and providing WSE administration with volunteers names before classroom parties.

 

Grade Level Chairs (PK-5): Work closely with the grade-level team lead teacher to help with grade-level needs before school starts and throughout the year. Connect and coordinate with Room Parents/Helpers to make sure classroom needs are covered, especially for the two classroom parties. Help support grade-level programs and activities, as needed.

 

Room Helper: Act as a point of contact for your classroom teacher and help coordinate parent volunteers when needed, especially for classroom parties.
